01Who we are

Dental Recoded (“we,” “us”) is operated by AI Quantum Ventures LLC, a Wyoming limited liability company. This policy covers dentalrecoded.com (“the site”), the Scorecard, and what we do when you contact us or ask us for something through the site. It does not cover other sites we link to. Their policies apply there.

02What we collect

What you give us

If you email us, ask for the book, join a list, book a conversation or answer a question we ask, we collect what you give us. That can include your name, work email address, phone number, practice name and size, your role, a mailing address if you reserve a printed copy, and anything you choose to write. We show what we are asking for at the point we ask.

The digital edition

After you send the form, you get a private link to read the book online. The service that hosts it can record that the link was opened, which pages were read and for how long, and we can see that. We use it to understand how the book is read and to decide whom to write to. We do not use it to identify patients, because we do not collect patient information. We also email the same private link to the address you gave us, through our email service provider.

The Scorecard

The Scorecard calculates your result in your browser. Your answers are kept in your browser’s session storage so you can go back a step, and they disappear when you close the tab. They are not sent to us. If we later offer to email you your result or save it, we will ask first and tell you what we collect.

What we collect automatically

When you visit, our hosting provider’s servers record your IP address, device and browser type, the pages you request, the page or ad that sent you, and the date and time. If you arrive from the QR code in the book, the link carries a short tag so we know that. If advertising tags are on (see “Advertising and measurement” below), the platforms that supply them collect similar details through cookies and identifiers.

Cookies and similar tools

The site does not need cookies to work. It uses your browser’s session storage for the Scorecard, a small cookie that remembers your advertising choice if you make one, and, for our own team only, a sign-in cookie. Advertising tags, if on, may set their own cookies.

What we do not want

Please do not send patient names, charts, images or any other health information about patients through this site or to the email address below. We are not set up to receive it. If you send it by mistake, tell us and we will delete it.

03How we use it

• To run the site and the Scorecard, and keep them secure.
• To answer you and to do what you asked for, such as sending a book or scheduling a conversation.
• To send emails you asked for or that relate to what you asked for. That includes the email with your link, a short series of emails after you ask for the book, and occasional news about the book and Dental Brain OS. You can unsubscribe from any of them.
• To measure which ads and pages work, and to improve the site and the book.
• To prevent fraud and abuse, and to meet legal duties.

We do not use your information to make decisions about you that carry legal effect.

04Advertising and measurement

We advertise to dental practice owners on third-party advertising and social platforms. We may place those platforms’ tags, often called pixels, on the site. A tag can tell the platform that your browser visited a page, finished the Scorecard or opened the call calendar. The platform may use that to measure our ads and to show our ads to people who look like our visitors, under its own privacy policy and not ours.

We do not send these platforms your Scorecard answers or anything about patients. Under some state laws, this kind of sharing counts as “sharing” for targeted advertising or as a “sale.” You can turn it off at any time under Your Privacy Choices below, and we treat a Global Privacy Control signal from your browser as turning it off.

05Who we share it with

• Service providers that help us run things: hosting and security, email and messaging, scheduling, customer records, printing and shipping, and analytics. They may use your information only to serve us.
• Advertising platforms, as described above, when tags are on.
• Advisers and authorities where the law requires it or where we need to protect people, our rights or our property.
• A buyer or successor if our business is sold or reorganized. The promises in this policy would continue to apply to your information.
• Anyone else only with your permission.

We do not sell your personal information for money.

06Fonts and other services on the site

To show the site’s fonts, your browser asks a third-party font service for them. That service can see your IP address and browser details when it does.

Pictures and videos we upload are served from our storage provider, which can see your IP address and browser details when your browser asks for them. If a page includes a video from YouTube or Vimeo, nothing from those services loads until you press play. After that, the service’s own privacy policy applies to the video.

The discovery call calendar works the same way. Nothing from our scheduling provider (HighLevel, which serves the calendar from leadconnectorhq.com) loads until you press a button to open it. After that, the provider can see your IP address and browser details, and it receives what you type to book a time. Its own privacy policy applies to that. If we add other services that load in your browser, we will update this policy.

07How long we keep it

We keep information only as long as we need it for the reasons above. Server logs are kept for a limited time. Records of your requests and our conversations are kept while we are in touch and for a reasonable time afterward so we can answer follow-ups, then deleted or stripped of anything that identifies you. If you unsubscribe, we keep your address on a do-not-contact list so we do not email you again. We may keep some records longer when the law requires it.

Your Privacy Choices

Email and text

Every marketing email has an unsubscribe link. We will not text you unless you have agreed to receive texts from us, and you can reply STOP to any text to end them.

Your rights

Depending on where you live, including California and many other states, you may have the right to:

• know what we hold about you and get a copy;
• correct it or have it deleted;
• opt out of targeted advertising, sharing and sale of your information;
• appeal if we say no to a request.

To make a request, email hello@dentalrecoded.com from the address you used with us and tell us what you want. We may ask for a few details to confirm it is you. We answer within 45 days and may take up to 45 more if we tell you why. If we decline, you can appeal by replying with the word “Appeal,” and we answer within 60 days. We will not treat you differently for using your rights. An agent can act for you with your written permission.

We do not ask for sensitive personal information. Web browsers have no common standard for “Do Not Track,” so we do not respond to that signal, but we do honor Global Privacy Control as described above.

09Security

The site uses encrypted connections, and we use reasonable administrative, technical and physical safeguards for what we hold. No method of sending or storing data is completely secure, so we cannot promise absolute security.

10Children

The site is for adults who own or run dental practices. It is not directed to anyone under 18, and we do not knowingly collect information from them. If you think a child has sent us information, tell us and we will delete it.

11Where your information is processed

The site is meant for people in the United States, and we use providers based there. If you visit from another country, your information will be processed in the United States, where data laws can differ from yours.

12Changes to this policy

When we change this policy we post the new version here and update the date at the top. If a change is significant, we email people we have an address for before it takes effect.
